1. Introduction
Sponsor Share provides mobile-friendly public sharing pages and administrative tools for clubs, event organisers, sponsors, and public event participants.
This Privacy Policy explains how Sponsor Share handles information when people use the platform, including admin users who log in and public users who open a public share page.
2. Information we collect
For admin and club users, we may collect account information such as name, email address, login credentials, private club contact numbers, club details, event details, sponsor names, sponsor handles, logos, and related settings. This includes sponsor verification email addresses and private contact numbers, eligible club-owner email addresses, and an explicit sponsor report-recipient email address where a club records one for event report delivery.
For public page users, the app may temporarily use information entered into the public page, such as a name or social handle, selected caption platform, and chosen photo. Public users do not create an account to use public share pages.
3. Photos and public sharing
Photos selected or taken on public share pages are used to support the user's own sharing flow. When a user taps a post/share button with a selected image, Sponsor Share may automatically add event, club, and sponsor branding to that image before opening the device sharing options.
Sponsor Share does not automatically post to Instagram, Facebook, or any other social media platform.
Users remain responsible for the photos, videos, names, handles, and captions they choose to share, especially where children, riders, spectators, or other identifiable people are included.
4. How information is used
We use information to operate the app, manage clubs and events, generate public share pages, generate QR-linked event URLs, create sponsor-ready captions, manage users, support account administration, and deliver event-close reports to eligible club owners or an explicitly approved sponsor report recipient.
We use separate first-party diagnostic activity and bounded, anonymous Google Analytics 4 measurement to understand public page views, share starts, sponsor promotion views, sponsor CTA selections, event engagement, and service performance.
We may also use submitted request access or password reset information to respond to support, onboarding, or account access requests.
5. Analytics and measurement
Marketing pages use a marketing measurement stream, while public event pages use a separate sponsor-event measurement stream. Administrative, login, invitation, sponsor-verification, and legal pages are excluded from Google Analytics collection.
We use bounded, anonymous Google Analytics 4 measurement, which is enabled by default on public marketing and event pages, to understand public page views, share starts, sponsor promotion views, sponsor CTA selections, and event engagement. Visitors can turn anonymous measurement off from the Analytics preference controls on this Privacy Policy page.
GA4 receives stable organisation, event, sponsor-promotion, source, platform, and bounded result identifiers. It does not receive rider-entered names or handles, selected photos, email addresses, tokens, raw errors, or the text of captions entered or generated for a user.
Analytics can be reduced or blocked by browser privacy controls, extensions, rejected consent, network failure, or GA4 processing. A share start records a handoff attempt; it does not prove final publication on a social platform and does not measure downstream social reach, engagement, impressions, or sponsor sales.
6. Third-party platforms
Sponsor Share helps users prepare captions and open sharing options, but Instagram, Facebook, browsers, device operating systems, and other services are separate third-party platforms.
Those platforms have their own terms, privacy policies, permission prompts, and sharing behaviour. Sponsor Share cannot control how third-party platforms process content once users choose to share it.
7. Security
Sponsor Share uses password hashing and protected admin routes to help secure administrator access.
No online service can guarantee absolute security. Users should use strong passwords, protect access to their email accounts, and avoid sharing admin credentials.
8. Retention and updates
Club, event, sponsor, user, invite, request access, and password reset records may be retained while they are needed to operate the platform, provide support, or maintain records.
Event-close report snapshots, their approved recipient details, and safe delivery business records may be retained for accountability, support, and an immutable audit trail. Sponsor verification contact details are kept separate from the sponsor report-recipient email and are not silently substituted for it.
This Privacy Policy may be updated from time to time. Updated versions may be made available through the app footer or legal pages.
